We are seeking a detail-oriented Document Receiving & Scanning Clerk to manage the intake, preparation, scanning, and tracking of incoming physical documents. This role is critical to ensuring documents are accurately received, digitized, and routed for processing in a secure and timely manner.
Key Responsibilities:
Receive, open, and log incoming mail, packages, and document shipments
Verify document completeness and match documents to intake manifests or loan files
Prepare documents for scanning (sorting, removing staples, quality checks)
Scan documents using high-volume scanners and indexing software
Perform quality control to ensure images are clear, complete, and properly labeled
Upload and route scanned documents to internal systems or shared folders
Maintain accurate tracking logs and chain-of-custody records
Follow strict confidentiality, compliance, and data-security procedures
Communicate discrepancies, missing documents, or damage to supervisors
Qualifications:
High school diploma or equivalent required
Prior document scanning, mailroom, or records management experience preferred
Strong attention to detail and organizational skills
Comfortable working with scanners, copiers, and basic computer systems
Ability to sit, stand, and handle physical documents throughout the day
Ability to meet deadlines in a fast-paced, production-driven environment
Experience in mortgage, legal, or financial document handling a plus
